Nobody switches because sending got harder.

  1. A simple signature stops being enough.

    Xodo Sign states that it supports the first eIDAS level, the simple electronic signature (SES), and not AES or QES. When a contract or a counterparty needs a verified identity behind the signature, the tool has no answer.

  2. The data sits in the United States.

    The sub-processor list names Amazon Web Services with the United States as the data location. For DACH buyers in regulated industries, hosting becomes a procurement question before legal gets a say.

  3. Signed is not the same as managed.

    There is no approval workflow (the vendor suggests signing order plus reassignment as a workaround), no renewal tracking and no metadata extraction. The AI summariser on Professional summarises a document; it does not track dates across your contracts.

  4. The CRM connection runs through Zapier.

    Xodo Sign's help centre says its native Salesforce integration is still under development and points to Zapier in the meantime. The vendor also states that the sender interface is always in English.

What to look for in a Xodo Sign alternative.

Five questions decide most of these evaluations. Answer them before you book demos and the shortlist above collapses to two or three names.

The signature level you actually need.

eIDAS defines three levels. A simple electronic signature covers most commercial contracts in the EU, and it is the level Xodo Sign offers. Advanced and qualified signatures need identity verification behind them, and some documents will not hold without one.

What the price actually includes.

Three billing units compete on this list: the seat, the account with an invite allowance, and the envelope allowance per user. Add the credits for SMS authentication and bulk sending, and a separately licensed API, before you compare two quotes.

Where the data lives and who owns the company.

Several tools here host in the US by default and offer EU residency on a higher plan, if at all. For regulated buyers in DACH that is not always the same answer as a European company on European infrastructure.

What happens after the signature.

This is the question that splits the list. An e-signature tool treats a completed document as the end of the process. A contract platform treats it as the start, with approvals before signing and renewal dates after it.

When Xodo Sign is still the right answer.

Worth saying plainly, since we sell against it. If you are a small team that mainly sends a lot of simple signature requests, edits PDFs before sending them, finds SES legally sufficient and has no objection to US hosting, Xodo Sign does that job at a low per-seat price with unlimited documents. It is also a reasonable choice for developers who want a straightforward e-signature API at a low entry price.

How Xodo Sign (eversign) pricing actually behaves.

Xodo Sign’s pricing is simpler than most on this list. The differences between the quote and the invoice come from a few mechanics that are worth understanding before you compare it with anything, including us.

The seat is the billing unit, and documents are unlimited.

Basic and Professional are priced per paid user, in US dollars, and both include unlimited documents. Yearly billing halves the price: Basic is $10 per user per month billed annually or $20 monthly, Professional $16 or $32. The free plan allows 5 documents per month, one every seven days.

Basic is capped by templates.

Basic allows 3 templates per user and has no SMS authentication, bulk sending, AI or API. For a team that reuses more than a handful of contracts, Professional is the realistic tier, and it is the one in the table above.

Credits sit on top of the seat.

Professional includes 10 bulk sending credits, 10 SMS credits and 10 API documents per user. The vendor states that extra charges may apply when you use more SMS credits than the plan includes or exceed an API plan’s allowance. Automated and embedded signing is sold as separate API plans: API Light costs $50 per month billed annually for 50 API documents per month, and API Business is priced on request.

What no plan buys.

The published plans do not add advanced or qualified signatures, and the sub-processor list shows US data hosting. If either is a requirement, it is not a matter of upgrading: it rules the tool out.

What to ask for in writing.

Ask any vendor on your shortlist for the same three numbers: the total annual cost at your real document volume, what happens when you exceed the allowance, and what the second and third year look like after any first-year discount. Those three answers reorder most shortlists more than any feature table does.

How to move without losing your archive.

  1. Download your signed documents.

    Signed documents download one by one as PDF with their Certificate of Completion. For a full account export, ask Xodo Sign support while the account is still active.

  2. Bulk import the archive.

    fynk reads each PDF and extracts parties, dates, values and terms, so the archive arrives searchable instead of as a folder dump.

  3. Rebuild templates, not documents.

    Move the five templates that cover most of your volume. The long tail can follow.

  4. Run both for one month.

    New contracts go to the new system, anything mid-signature finishes where it started.
